The 2022 Asilomar Conference on Signals, Systems and Computers (referred to as the 2022 Asilomar Conference) is a hybrid event with both virtual and on-site in-person conference components. Attendance to the virtual component is required for publication of the work presented within. A by-invitation scaled down event will provide on-site participants the option to present their work a second time in an in-person setting, and secondary registraton fee required to attend the on-site event. Attendance to the on-site event is neither required nor sufficient for publication of the work presented. Invitation emails are in the process of being sent out and on-site slots will be filled on a first-registered basis until available on-site are filled. Please see information below for further details.

How is the 2022 conference organized?

• The 2022 conference is hybrid, i.e., it has separate virtual and scaled-down on-site components. There is no registration attendance limitation to the virtual component. However, there are attendance limitations to the scaled-down component due to limited physical capacities available at the Asilomar Conference Ground. On-site slots will be filled on a first-registered basis until filled with priority given to authors.
• All papers must have a presentation video uploaded, at least one of the authors must present their work during their assigned live poster session in the virtual component and the presenter must be registered for the work to be considered presented. All others will be considered as no-shows and their work not included in the proceedings.
• In addition, a portion of the authors will have the option to present again in a poster format on-site during the on-site component. Note on-site presentation is in addition to and does NOT substitute for the virtual presentation.
• The conference committee is currently building the on-site program by pooling authors as to their intention about presenting on-site (see specifics below).
• Monday 10/31, Tuesday 11/1, Wed. 11/2 mornings (Pacific time) will be dedicated to virtual components activities with live plenary/tutorial presentations and poster presentations on the virtual platform. Please note that there is no archiving of videos or posters uploaded for the virtual poster sessions.
• Sunday 10/30, Monday 10/31, Tuesday 11/1 afternoons (Pacific Time) will be dedicated to on-site component activities. Sunday afternoon: live tutorial presentation, Monday & Tuesday: on-site poster presentations for on-site participants. Please note there will be no live broadcasting of specific on-site activities.

What do I need to do to participate in the conference as an author?

You will first need to participate in the virtual event and:

• To upload a video presentation of your work by mid-September 2022 (details were sent separately to all papers POCs – 1 video presentation and virtual attendance to the live virtual poster session is required for each paper). Video presentations will be available to registered attendees for a month starting October 30 on our virtual platform.
• To register to the virtual event (registration site to open Monday 09/26, virtual registration: paper fee: $250 [which covers one virtual registration], $30.00: virtual registration only). The virtual component will take place on Gather.Town from October 30 through November 2 during morning hours (Pacific time). All authors and participants will interact in live virtual poster sessions.
• To ensure that one of the authors of each paper participate in the virtual live poster session assigned to your paper(s) (which will occur morning times, Pacific Time). You must be registered to get access to the virtual platform. Please plan to have at least one of the authors always present during your live poster slot so that your poster does not remain unattended to ensure attendees may interact with researchers knowledgeable about the work presented. Please note that there is no archiving of videos or posters uploaded for the virtual poster sessions.

What do I need to do to get my paper presented?

• Please be aware of the following conference participation policy - The Asilomar Conference on Signals, Systems, and Computers enforces an author presentation policy. Any accepted paper included in the final program is expected have an uploaded video presentation uploaded to the virtual platform and the work be presented by one of the registered authors in their assigned virtual live poster session. Non-presented papers will not be published by IEEE on IEEE Xplore® or other public access forums.
• There is no exception to the policy.

What do I need to do to participate in the conference as an attendee w/o a paper?

• You will need to register to the virtual component (see details on registration process for specifics).
• We will open on-site slots to non-authors in early to mid-October should there be on-site slots still available at that time. A separate on-site registration fee will be required (see registration specifics).

I am an author, and I am interested in attending on-site too, what is the current process?

• If you are an author:
  • We are currently in the process of pooling authors to present their work virtually only or virtually & a second time in-person. Three separate waves of inquires will be sent (First wave targets invited authors, second wave targets contributed authors, third wave targets others). The first wave was sent on 9/15/22 to invited authors and responses requested NLT Oct. 1st. We are in the process of preparing the second wave to be sent within the next few weeks. On-site slots become reserved only when participants register to the on-site component. Available on-site slots will be filled on a first-come first-served basis until all available on-site slots are filled or response deadlines pass, whichever comes first.
  • Unfortunately, we do not have the physical capacity to have everyone come and present their work on-site. We will build the final on-site program based on authors’ on-site registration status and will fill up available on-site presentation slots on a first-come first-served basis until all available on-site slots are filled. Please help us build the on-site program by registering early.
• If you are not an author:
  • Due to the limited on-site physical capacity available, we are currently giving priority to authors. We will open on-site slots to non-authors by early to mid-October, should there be open slots available at this point.
  • We expect to be able to accommodate only a very small number of non-authors for the 2022 on-site event.

How to participate in the on-site component?

• Due to limited on-site capacity, we are giving priority to authors wishing to present their work a second time in an in-person format. Note on-site presentations are in addition to, and do NOT substitute for, required virtual participation
• On-site attendance slots for non-authors will open early to mid-October, on a space available basis, depending on available on-site slots availability.

How will the on-site component work?

On-site activities are scheduled for Sunday 10/30 afternoon, Monday 11/1 afternoon, and Tuesday 11/1 afternoons.

• Sunday 10/30 afternoon Pacific time will be dedicated to the live tutorial/plenary presentation.
• Monday 10/31 and Tuesday 11/1 afternoons, Pacific time will be dedicated to presentations in poster format only, while mornings (Pacific time) will be left free to allow attendees to connect to the virtual component. Wi-Fi access will be provided, but you will need your own device to connect. To minimize potential technical difficulties, we recommend that for papers with multiple authors, the virtual poster presenter be one of the authors not attending the on-site component.
• Presenters will be allocated a one-hour slot (Monday or Tuesday afternoon) during which they will present their work a second time to other on-site participants. Presenters are expected to be one of the authors of the work so that they are knowledgeable about the work and be registered to the on-site event. Please plan to be present during your entire live poster slot so that your poster does not remain unattended to ensure attendees may interact with researchers knowledgeable about the work presented.
• All on-site attendees will be required to abide by CA State health requirements in place at the time of the event, and attendees may be required to wear masks indoors.

What is the registration process and registration cost?

• The registration site is scheduled to open on Monday 09/26. The registration process has 2 components: virtual and on-site registrations. You will be required to first register to the virtual event before being able to register to the on-site component.
• The virtual registration option is open to everyone starting 09/26.
• The on-site registration option will open in three phases on a first-registered basis until all on-site slots get filled or deadlines pass, whichever comes first. Please note: your on-site slot becomes reserved only upon registration to the on-site component.
  • Prior to Oct. 2nd: on-site registration option opens to authors of invited papers only.
  • Starting October 3rd: on-site registration option opens to authors of contributed papers.
  • Starting mid-October: on-site registration option open to non-authors if on-site attendance space is still available at that point.
• All papers must be covered with a paper registration fee of $250 [which also includes one virtual registration].
• Virtual attendee registration only: $30.00 (for those who do need to cover a paper registration fee).
• Virtual & on-site registration: additional on-site registration is $250.00 [ which is in addition to the virtual registration fee selected].
